In the dead of winter with signs of spring still months away, it's time for condo corporations to turn their attention to spring maintenance and repair planning.
As a Key Condo client, your spring planning process kicks off in January at a regularly scheduled condo board meeting. Your condo manager provides the condo board with a list of non-urgent operating fund work. This list of work draws from resident requests, board member requests, vendor recommendations, and your condo manager’s own experience, and we help you assess each item on the list to decide what projects will be completed. The list encompasses a diverse range of tasks, including routine maintenance like dryer vent cleaning and parkade sweeping, as well as one-off projects such as sidewalk mudjacking and sign installations.Â
In addition to planning operating fund work, we will also ask you to review the reserve fund plan at the January condo board meeting to confirm all reserve fund projects will be completed as scheduled in the reserve fund study.Â
Your condo manager will record in the board meeting minutes what operating and reserve fund work is planned for the upcoming year. Additionally, if the condo board has decided to defer any reserve fund projects budgeted in the reserve fund study, we update the reserve fund plan to communicate why a project was deferred. Clearly communicating what we are planning and what we are doing gives owners confidence that the board is actioning work as required and provides certainty to buyers that they are making a good investment in your condominium.Â
With an average workload of 6 condos per condo manager, your manager will consolidate identified maintenance tasks from all their buildings, and then solicit quotes from reputable vendors before March 1. We aim to receive most quotes before the end of March—although, some projects will need to wait until the snow melts before we can get a quote. The goal is for you to be able to review quotes in March or April so you can approve projects to start in the spring.
