At Key Condo Management, we are dedicated to ensuring organized and productive Annual General Meetings (AGMs) for our condo communities in Calgary. That is why we start preparing our condos for their AGM months in advance.
60 days before the AGM: Once the condo board has reviewed and approved the annual financial statements, we will typically set the date for the next AGM. We email a save-the-date notice to owners 60 days before the meeting. In our save-the-date notice, we include:
The meeting's date, time, and location
A proxy form
A request for owners to submit any proposed agenda topics
While not legally required, we believe that allowing owners to propose agenda topics in advance of a general meeting contributes to a peaceful and organized community.
30 days before the AGM: Approximately one month before the AGM (depending on the notice requirements in your bylaws), we email or mail the comprehensive AGM package to owners. This package typically includes:
The meeting agenda
Any draft minutes from a previous general meeting
The president’s report
The treasurer’s report
The most recent annual financial statements
The latest annual report on the reserve fund
The current budget
Proxy form
Along with the AGM package, we often include an owner's survey. This survey seeks owner feedback on various services such as grass cutting, snow removal, lighting, security, and janitorial services. Owners' input is invaluable, and we use it to adjust service scopes and provide meaningful feedback to our vendors and the condo board.
